Job Description

Assist in project-related tasks such as scheduling, reporting, and resource coordination.
Collaborate with project managers on projects progress tracking and reporting.
Collaborate with IT managers on audit and governance related matters.
Provide administrative support for IT projects, including documentation and coordination.
Work with track leads to obtain status update of projects and provide dashboard reporting.
Liaison between the IT department and other Business units.
Facilitate internal communication and ensure timely dissemination of information.
Coordinate meetings, schedules, for IT projects.
Maintain and organize IT projects documentation, contracts, agreements, insurance and files.
Assist in the creation and updating of process manuals and standard operating procedures.
Ensure compliance with document retention policies and procedures.
Assist in planning and coordinating departmental events, meetings, tabletop exercise and workshops.
Handle logistics, invitations, and follow-up activities related to events.
Manage day-to-day administrative tasks within the IT department.
Coordinate office supplies, equipment maintenance, and facility requirements for the IT department.
Ensure a clean and organized working environment conducive to productivity.
Assist in coordinating with external vendors for IT-related contract services and supplies.
Manage vendor contracts, invoices, and procurement processes.
Support IT RFP procurement and involve in sourcing and purchasing.
Collaborate with relevant teams to ensure successful event execution.
Put together innovation and improvement project presentations on Corporate events such as Quality Day, etc.
Prepare funding paper, track IT funding utilization and reporting.

Job Requirements

Bachelor's degree in Business Administration, Management, ICT or related field.
Proven experience in administrative roles, preferably within a fast paced IT environment.
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels
Excellent in preparing slides and presentations
Strong organizational and multitasking abilities, with keen attention to detail.
Strong in time and cost management and tracking
Proficient in Google, Microsoft Office suite and basic IT terminology.
Ability to work independently and collaboratively in a fast-paced environment.
